Beacon Hill is seeking a Lease Administration Coordinator to support lease administration activities within a real estate portfolio. This role is responsible for reviewing lease and property documentation, maintaining critical lease data, monitoring financial obligations, conducting lease audits, and supporting landlord and tenant communications. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Position Details
- Pay Rate: $23-$24/Hr
- Schedule: Monday-Friday, 8:00 AM – 5:00 PM (30-minute lunch)
- Work Arrangement: Onsite
Key Responsibilities
- Review, abstract, and maintain lease, ownership, and property documentation
- Update and manage lease information within internal databases and technology systems
- Maintain document storage, retrieval, scanning, filing, and records management processes
- Review invoices against lease obligations and verify supporting documentation
- Ensure accuracy of client financial obligations and lease-related payments
- Conduct desktop audits of Common Area Maintenance (CAM), insurance, and real estate tax reconciliations
- Investigate discrepancies and coordinate resolution with landlords
- Manage subtenant administration processes, including rent tracking and invoice management
- Communicate with landlords, subtenants, and internal stakeholders regarding lease-related matters
- Monitor critical lease dates and support compliance with real estate policies and procedures
- Review Estoppels and Subordination Non-Disturbance Agreements (SNDAs) for lease compliance
- Prepare financial reports, critical date reports, and portfolio summaries
- Identify exceptions, investigate root causes, and recommend solutions
- Support process documentation, standard operating procedures, and special projects
- Assist with portfolio administration and lease management initiatives

Qualifications
- High school diploma or equivalent required
- 0-2 years of administrative, real estate, lease administration, finance, accounting, or related experience
- Proficiency with Microsoft Office applications
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Ability to maintain confidential information
- Strong analytical and problem-solving skills
- Ability to work independently and manage competing priorities
- Attention to detail and commitment to data accuracy
- Customer service mindset with strong interpersonal skills
- Experience reviewing contracts, leases, invoices, or financial documents is a plus
