Position Summary
Beacon Hill is seeking an Office Coordinator to provide front-office support, assist real estate agents with daily operational needs, and help maintain an organized, professional office environment. This role is ideal for someone who enjoys being the go-to resource for office administration, agent support, and day-to-day problem solving.
The ideal candidate is friendly, proactive, highly organized, and comfortable balancing front desk responsibilities, office coordination, and transaction-related administrative support in a fast-paced real estate environment.
Position Details
Job Type: Full-time, Contract
Pay Rate: $20 per hour
Schedule: Monday-Friday | 9:00 AM-5:00 PM
Work Arrangement: Onsite
Assignment Length: Approximately 1 month
Start Date: After interview
Key Responsibilities
Front Office & Administrative Support
- Provide front desk coverage, greet visitors, and answer incoming calls
- Assist agents and office leadership with daily administrative requests
- Manage incoming correspondence and general office communications
- Support office operations to ensure a professional and welcoming environment
Real Estate Transaction Support
- Assist with pending contracts and transaction-related documentation
- Help ensure paperwork is complete and properly routed
- Support agents with administrative needs throughout the transaction process
- Coordinate with accounting and internal teams as needed
Office Organization & Operations
- Organize and maintain office supply closets, shared workspaces, and administrative areas
- Help restore and maintain organization following recent office renovations
- Monitor office inventory and coordinate supply replenishment
- Ensure common areas remain organized and functional
Agent & Team Support
- Act as a resource for agents requiring administrative assistance
- Support meeting coordination and office projects as needed
- Assist with changing priorities and day-to-day operational needs
- Provide responsive, high-touch customer service to internal stakeholders
Systems & Tools
- Microsoft Office (Outlook, Word, Excel)
- MLS / FMLS platforms
- Real estate transaction and document management systems
Qualifications
- Previous administrative, office management, receptionist, or real estate support experience preferred
- Strong organizational and multitasking abilities
- Excellent customer service and communication skills
- Ability to work independently and manage shifting priorities
- Professional, friendly, and proactive approach
- Comfortable supporting a fast-paced office environment
- Real estate industry experience is a plus but not required
