Position Summary

Beacon Hill is seeking an Office Assistant to support daily office operations for a busy service-based organization. This role serves as the primary point of contact for incoming customer calls, service requests, dispatch coordination, and administrative support.

Position Details

  • Pay Rate: $17.00-$18.00 per hour
  • Schedule: Monday-Friday, 7:30 AM – 4:00 PM
  • Work Arrangement: Onsite

Key Responsibilities

  • Answer high-volume inbound calls and provide exceptional customer service
  • Take accurate messages and route information to the appropriate team members
  • Gather customer information and service request details
  • Schedule and dispatch service calls to technicians
  • Return customer calls and provide timely follow-up updates
  • Monitor incoming messages and call notifications to ensure prompt response
  • Manage customer communications and maintain accurate records
  • Support daily administrative and office operations
  • Coordinate with office staff and field technicians to ensure service needs are addressed
  • Maintain organized documentation and customer records
  • Prioritize urgent service requests while managing multiple responsibilities
  • Assist with general office tasks as needed

Qualifications

  • Previous office assistant, receptionist, customer service, dispatch, or administrative experience preferred
  • Strong phone etiquette and communication skills
  • Ability to manage a high volume of calls while maintaining professionalism
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and accurate message-taking skills
  • Ability to learn new systems quickly and work independently after training
  • Reliable attendance and punctuality
  • Strong written communication and documentation skills
  • Ability to remain composed in a busy, fast-paced environment
  • Customer-focused mindset with a positive attitude
