Position Summary
Beacon Hill is seeking an experienced Executive Assistant to provide dedicated support to the President & CEO of a nationally recognized nonprofit organization. This high-visibility role serves as a strategic administrative partner responsible for managing executive priorities, coordinating complex schedules and travel, preparing executive-level materials, and acting as a trusted gatekeeper to the President’s office.
The ideal candidate is polished, resourceful, highly organized, and comfortable supporting a demanding executive in a fast-paced environment where priorities shift frequently and discretion is paramount.
Position Details
Job Type: Full-time, Contract-to-Hire
Pay Rate: $38.46 per hour
Target Salary Upon Conversion: $80,000
Schedule: Monday-Friday | 9:00 AM-5:00 PM
Work Arrangement: Onsite
Assignment Length: 520 hours with conversion goal upon successful completion
Start Date: August 17 or August 24, 2026
Key Responsibilities
Executive Calendar & Scheduling Management
- Manage a highly complex executive calendar, balancing competing priorities and scheduling requests
- Coordinate meetings, executive engagements, and leadership commitments
- Evaluate and prioritize requests for executive time and access
- Ensure meeting logistics, materials, and follow-up actions are completed accurately and on time
Travel & Logistics Coordination
- Coordinate extensive domestic travel arrangements and executive itineraries
- Prepare detailed travel briefings and supporting materials
- Manage travel changes, issue resolution, and last-minute adjustments
- Support expense reporting and travel documentation processes
Executive Office Operations
- Serve as a key gatekeeper to the President’s office
- Screen requests and manage stakeholder access appropriately
- Support executive communications and correspondence
- Maintain confidentiality regarding highly sensitive organizational matters
Meeting Preparation & Follow-Through
- Prepare briefing books, agendas, reports, presentations, and meeting materials
- Track action items and ensure follow-through on executive initiatives
- Support board, donor, leadership, and stakeholder meetings
- Assist with operational projects and executive office priorities
Stakeholder Management
- Interact professionally with senior leadership, board members, donors, community leaders, and external stakeholders
- Build strong working relationships across departments
- Serve as a trusted point of contact on behalf of the executive office
Systems & Tools
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Blackbaud
- Concur
- ADP
- Executive scheduling and travel management systems
Qualifications
- Minimum 5 years of Executive Assistant experience supporting C-suite executives
- Bachelor’s degree preferred
- Exceptional calendar management and executive scheduling experience
- Strong domestic travel coordination experience
- Excellent writing, editing, and proofreading skills
- Proven ability to manage confidential information with discretion
- Strong judgment, prioritization, and organizational skills
- Ability to work independently with minimal direction
- Comfortable supporting a direct, high-expectation executive
- Flexible and responsive outside standard business hours when required
