Position Summary

Beacon Hill is seeking a Administrative Assistant to support a busy claims team within a professional office environment. This role is responsible for claims intake, document management, data entry, scheduling, reporting, and administrative support.

Position Details

  • Pay Rate: $20.00-$22.00 per hour
  • Schedule: Monday-Friday, 8:00 AM-4:00 PM or 9:00 AM-5:00 PM (30-minute lunch)
  • Work Arrangement: Hybrid (4 Days Onsite / 1 Day Remote)
  • Assignment Duration: 6-8 Months

Key Responsibilities

  • Process incoming claims and maintain accurate intake records
  • Perform high-volume data entry with a strong focus on accuracy
  • Scan, file, index, and manage electronic and physical documents
  • Create and maintain matters within case management systems
  • Prepare reports, presentations, correspondence, and administrative documentation
  • Upload, organize, and maintain case documents and records
  • Answer incoming calls and route inquiries to appropriate team members
  • Schedule meetings, depositions, and conference room reservations
  • Manage mail distribution, document processing, and general office support
  • Monitor and maintain copy room operations and supplies
  • Support invoice processing and payment tracking activities
  • Coordinate travel arrangements, reimbursements, and expense reconciliations
  • Draft letters, memoranda, agendas, and email communications
  • Provide reception and front desk coverage as needed

Qualifications

  • Associate degree, technical/vocational certification, or high school diploma required
  • Minimum six years of experience in an office or administrative environment
  • Strong data entry and document management experience
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong written and verbal communication skills
  • Ability to work independently and exercise good judgment
  • Proficiency with Microsoft Office Suite
