Office Assistant
Location: Minneapolis, MN 55401
Schedule: Full-Time, Onsite | Monday-Friday, 8:00 AM-5:00 PM
Compensation: $23-$24/hour
Employment Type: Direct Hire
Beacon Hill’s client, a busy and well-established professional services firm, is seeking an Office Assistant to join their team in downtown Minneapolis. While legal experience is not required, candidates should have prior exposure to a professional services setting through work experience, internships, or similar opportunities.
The ideal candidate is proactive, organized, adaptable, and enjoys supporting a variety of office operations. This role is well-suited for someone who takes initiative, anticipates needs, and enjoys being the go-to person who helps keep an office running efficiently.
Responsibilities
- Support the day-to-day operations of a busy office environment
- Order and maintain office supplies, kitchen inventory, and workplace essentials
- Coordinate catering and lunch deliveries for meetings and events
- Set up, organize, and prepare conference rooms for meetings
- Stock refrigerators, kitchen areas, and common spaces
- Prepare coffee and refreshments each morning
- Retrieve, organize, and file documents from storage locations
- Assist with office projects and special assignments as requested
- Serve as a backup to the reception desk and provide front-office coverage when needed
- Maintain and update internal databases and records
- Assist with mail distribution, deliveries, and general administrative support
- Monitor office needs and proactively address operational priorities
- Provide exceptional internal customer service to attorneys, staff, and visitors
Qualifications
- Associate’s or Bachelor’s degree preferred
- Prior experience within a professional services environment, including internships, is preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and priorities in a fast-paced setting
- Proactive mindset with the ability to anticipate needs and solve problems independently
- Professional communication and interpersonal skills
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Dependable, flexible, and team-oriented approach to work
