Executive Assistant / Office Manager
Location: Hybrid | 3 Days Onsite
Compensation: $70,000 – $85,000 annually DOE
Type: Contract-to-Hire
Beacon Hill’s client, an innovative and growing medical device startup, is seeking an Executive Assistant / Office Manager to serve as a trusted right hand to the CEO while overseeing day-to-day office operations. This contract-to-hire opportunity offers the chance to join a collaborative organization during an exciting period of growth, with bonus eligibility and equity participation available upon permanent hire.
This highly visible role supports the CEO while managing office operations for a small but rapidly growing organization. The ideal candidate is a proactive, high-EQ professional who thrives in a fast-paced environment, can effectively prioritize competing demands, and enjoys taking ownership with minimal direction.
Key Responsibilities
Executive Support
- Manage complex executive calendars, scheduling, and travel arrangements.
- Serve as a liaison between leadership, employees, vendors, and external stakeholders.
- Prepare presentations, reports, correspondence, and executive-level documentation.
- Screen and prioritize communications, meeting requests, and action items.
- Attend meetings, take notes, and track follow-up activities.
- Coordinate leadership meetings, board meetings, and company events.
- Handle sensitive and confidential information with discretion.
Office Management
- Oversee daily office operations and maintain an efficient, organized workplace.
- Manage office supplies, vendors, procurement activities, and facility needs.
- Coordinate employee onboarding logistics and workspace setup.
- Track office expenses, process invoices, and assist with AP inquiries.
- Partner with building management, IT, and external service providers.
- Manage office equipment, technology resources, and security/access controls.
- Support internal communications and company-wide initiatives.
Additional Support
- Assist with special projects and strategic initiatives.
- Coordinate employee engagement activities and company events.
- Provide administrative support for recruiting and HR-related projects as needed.
Qualifications
- 5+ years of Executive Assistant, Office Manager, or related administrative experience.
- Experience supporting senior leadership in a small to mid-sized company environment.
- Advanced proficiency with Microsoft Office Suite, particularly PowerPoint, Outlook, Word, and Excel.
- Comfortable utilizing technology and AI tools to improve efficiency.
- Exceptional organizational, communication, and multitasking skills.
- High level of professionalism, discretion, and attention to detail.
- Ability to work independently, prioritize effectively, and adapt to changing needs.
- Bachelor’s degree preferred.
