Position Summary

Beacon Hill is seeking a detail-oriented Property Administrator to support the day-to-day operations of a commercial property management team. This role is ideal for an administrative professional with strong organizational skills, customer service experience, and the ability to manage multiple priorities in a fast-paced office environment. Will support lease administration, vendor coordination, invoice processing, tenant communications, and reporting functions while helping maintain efficient property operations.

Position Details

  • Job Type: Full-Time
  • Pay Rate: $21-$25/hr
  • Schedule: Monday-Friday, standard business hours
  • Work Arrangement: Onsite
  • Start Date: Immediate opportunity available

Key Responsibilities

  • Provide comprehensive administrative support including correspondence, filing, report preparation, and phone coverage
  • Schedule and coordinate meetings, appointments, and special events
  • Assist with lease administration, tenant records, insurance documentation, and reporting activities
  • Prepare bid packages, service agreements, and vendor-related documentation
  • Process, code, and track invoices for approval and payment
  • Maintain contract files, lease records, and property management documentation
  • Monitor certificates of insurance and track renewal and expiration dates
  • Support contract administration and ensure accurate data entry into property management systems
  • Manage and maintain purchase order records and vendor files
  • Monitor property maintenance work orders and prepare status reports
  • Respond to tenant inquiries and help maintain positive tenant relationships
  • Track service requests and support issue resolution efforts
  • Assist with monthly and quarterly reporting, budgeting, and financial documentation
  • Process staff timesheets, expense reports, tenant bill-back invoices, meter readings, and payment requests
  • Coordinate office supply inventory and administrative office operations

Qualifications

  • High school diploma or GED required
  • Associate or Bachelor’s degree preferred
  • Prior administrative, customer service, property management, or office support experience preferred
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Ability to multitask and prioritize competing deadlines
  • Professional demeanor with strong interpersonal skills
  • Ability to maintain confidentiality and work effectively with internal and external stakeholders
  • Proficiency with standard office technology and equipment
  • Strong attention to detail and accuracy
