Position Summary
Beacon Hill is seeking a Project Coordinator to support the buildout of an industrial facility. This role will partner closely with project leadership to coordinate project activities, maintain documentation, manage administrative processes, and ensure resources, schedules, and communications remain aligned throughout the project lifecycle. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction or facilities environment.
Position Details
- Schedule: Monday-Friday, 8:00 AM-5:00 PM
- Work Arrangement: Onsite
- Start Date: ASAP
Key Responsibilities
- Support project managers with project plans, schedules, budgets, documentation, and reporting
- Manage administrative and bookkeeping functions including invoices, purchase orders, and inventory tracking
- Coordinate procurement activities and help monitor project-related expenditures
- Schedule meetings, prepare agendas, document meeting notes, and distribute updates
- Communicate with stakeholders to gather requirements, confirm timelines, and track project progress
- Coordinate project resources to ensure teams have necessary materials and information
- Monitor milestones and deliverables and provide status updates to stakeholders
- Serve as a liaison between project teams, vendors, and business partners
- Assist with project reporting, documentation management, and compliance tracking
- Promote cross-functional collaboration to support project objectives and deadlines
- Occasionally travel between local sites as needed, with mileage reimbursement provided

Qualifications
- Previous experience in project coordination, project administration, facilities support, construction administration, or a related field
- Strong organizational and multitasking skills
- Experience managing invoices, purchase orders, budgets, or project-related financial documentation
- Ability to coordinate multiple stakeholders and maintain accurate project records
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office applications, including Outlook, Teams, Word, and Excel
- Ability to work independently while supporting a collaborative project team
- Valid driver’s license and reliable transportation for occasional local travel
