We are seeking an experienced and detail-oriented Payroll Manager to oversee all aspects of payroll processing and compliance. This role supports a large wholesale and distribution company with operations across multiple states and an affiliate in Canada. The Payroll Manager will lead a team of four payroll administrators, ensuring timely and accurate payroll execution, managing payroll taxes, maintaining records, and ensuring compliance with all applicable laws and regulations.
Primary Responsibilities
- Manage and oversee the payroll function, including bi-weekly payroll processing for a large, multi-state organization and an affiliate in Canada.
- Build and manage data feeds between payroll systems and vendor platforms to ensure accurate information flow.
- Supervise, mentor, and develop a team of payroll staff members, ensuring high levels of accuracy and efficiency.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Review and audit payroll reports, reconciliations, and transactions for accuracy.
- Maintain payroll records in accordance with legal requirements and internal policies.
- Process amendments and year-end documents (e.g., W-2s).
- Collaborate with HR, benefits, and accounting teams to ensure data accuracy and integrity.
- Lead system upgrades, implementations, and improvements for payroll software and processes.
- Process and balance incentive and special payments to employees.
- Resolve payroll discrepancies and respond to employee inquiries promptly and professionally.
- Set up new reporting locations in payroll systems as new branches open.
- Provide reports and information to accounting and auditors upon request while ensuring confidentiality.
Qualifications
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field.
- 5+ years of payroll experience, with at least 2 years in a supervisory or management role.
- Strong knowledge of payroll principles, regulations, and tax reporting requirements.
- Proficiency in payroll systems (e.g., ADP Vantage, ADP Workforce Now) and Microsoft Excel.
- Proven leadership and team management skills.
- Exceptional attention to detail and organizational skills.
- Strong analytical, communication, and problem-solving abilities.
- CPP (Certified Payroll Professional) certification is a plus.
