Our client, an executive search firm, is seeking a Scheduling Coordinator to join their team. The hours are 8:30am-5:30pm four days in the office with one day remote.
Responsibilities:
- Schedule interviews between candidates and clients, often coordinating across time zones
- Communicate directly with clients and candidates over email regarding availability, interview confirmations, and updates
- Track all interviews and interactions in the firm’s applicant tracking system
- Proactively follow up on reschedules or availability conflicts, escalating to recruiters as needed
- Submit candidate profiles into client systems and ensure timely delivery
- Collaborate closely with internal recruiters, clients, and candidates as a central point of contact
- Assist with light office management tasks (snack ordering, supply management, occasional event support)
Qualifications
- Bachelor’s degree strongly preferred
- 2-10+ years of experience in a fast-paced administrative or scheduling role (high-volume experience required)
- Excellent attention to detail and strong communication skills
- Background in professional services or corporate environments preferred
- Strong command of Outlook and Zoom; familiarity with applicant tracking systems a plus
Compensation:
- Up to $80k base plus bonus
