Our client is seeking an experienced Executive Assistant to provide high-quality, comprehensive, strategic, and proactive support to the Executive Director. This position will be hybrid once their NYC office is open and they are responsible for managing and prioritizing the Executive Director’s inbox and calendar, coordinating meetings, facilitating communication between the Executive Director and other members of the organization, and ensuring that the Executive Director is able to fulfill all commitments. The Executive Assistant will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Responsibilities:
- Provide strategic management and oversight of calendar and email communications. Respond to emails on behalf of the Executive Director and prioritize emails that need to be addressed or categorized for later review.
- Complete a broad variety of administrative tasks including, but not limited to: scheduling an active calendar of appointments; managing contact information; composing, preparing, and editing correspondence; preparing briefings and researching information relevant to the organization, ensuring that the Executive Director and team members are well-informed and prepared; coordinating events planning, and arranging travel for the team.
- Work closely and effectively with the Executive Director to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
- Help organize the broader team and work with them to stay ahead of deadlines and key priorities.
- Complete projects and special assignments with the Executive Team.
- Provide ad hoc support as needed to other programs and functions across the organization.
- Provide occasional assistance with personal matters including some travel, restaurant reservations, and coordination with spouse’s EA on family matters.
- Perform other duties as assigned.
Qualifications:
- Bachelor’s degree preferred.
- 2-5 years of experience supporting executive-level staff, preferably in a nonprofit.
- Impeccable verbal and written communication skills and attention to detail when it comes to editing correspondence and other documents.
- Excellent technology skills and proficiency in core productivity and communication systems, including Google Workspace Suite (Docs, Sheets, Slides, Gmail, Calendar), Slack, AirTable (project management), and AI tools.
- Self-motivated, detail-oriented, extremely organized, and a pro at multitasking.
- Superb professionalism, adaptability, openness to feedback, and ability to work under pressure while maintaining a sense of humor.
- Excellent customer service skills including the ability to build relationships among internal and external stakeholders and handle matters in a professional, courteous, and friendly manner.
- Decision-making skills that are effective, efficient, and correct.
- Ability to maintain confidentiality and handle sensitive information with discretion.
