Our client, a Private Equity firm that identifies and develops distinctive opportunities for its investors and partner companies, is seeking to hire a Temp Receptionist to support their NYC office. Note this role is 70% reception/office assistant and 30% administrative. The role will be responsible for a high volume of tasks including calendar management and scheduling, effectively prioritizing information and requests to then ensure appropriate level of urgency is given, monitor/track conference room meeting schedules, manage travel/expenses and other administrative support tasks required at the office level. You are required to be in office 5 days per week, 8:30am – 5:30pm (the role is expected to last a week but can extend so flexibility is required).
Responsibilities:
70% Reception / Office Assistant Duties:
- Organize, stock, order pantry items. Monitor, maintain, organize, and order all office supplies.
- Make sure lunch orders have been placed, delivered, and labeled, must be able to manage this process independently.
- Help welcome, assist, and direct visitors to appropriate conference rooms.
- Provide necessary information for guests to enter the building.
- Clean and set up conference room for meetings.
- Help sort mail and distribute accordingly.
- Answer phone calls/ take detailed messages and direct each call/message to the right person.
- High levels of integrity and discretion in handling confidential information is a must and a high degree of professionalism in dealing with senior professionals inside and outside the company is required.
30% Admin Duties:
- Email and calendar management.
- Working directly with other EA’s, travel booking, expense report management (over time).
- Half of the day is spent in email and calendars – there is high email volume in this role.
Qualifications:
- BA degree. 1+ years of administrative experience in a corporate setting, ideally.
- MS Word, Excel, and Outlook (Experience with outlook is essential).
- Flexible/can do attitude.
- Ability to complete a high volume of tasks and projects with little to no guidance.
- Strong written/verbal communication skills.

- Resourceful and proactive.
