Our client, a private education institute located in Waltham, is seeking an Executive Assistant to join their team on a temp-to-perm basis. This onsite role has hours Monday through Thursday from 8:00 AM to 5:00 PM, and Friday from 8:00 AM to 2:00 PM, with adjusted summer hours. It is compensating up to $35 an hour, depending on experience. Qualified and interested candidates are encouraged to apply today for immediate consideration.
Responsibilities:
- Provide executive-level support to the Head of School and collaborate with the Director of Development
- Manage complex calendars, schedule meetings, and resolve conflicts proactively
- Draft and edit high-quality communications (emails, donor correspondence, thank-you notes)
- Take and distribute meeting minutes; support logistics for ~5 annual Board of Trustees meetings
- Coordinate events and outreach, including sending gifts and communications to donors
- Maintain organized systems for tracking meetings, tasks, and key deadlines
- Assist with spreadsheets, forms, and tech-based administrative tools
Qualifications:
- Minimum 5 years of experience in an Executive Assistant or similar administrative support role (education or nonprofit preferred)
- Exceptional written and verbal communication skills
- Strong calendar and task management capabilities
- Proficient with spreadsheets, scheduling tools, and shared drives
- Ability to reprioritize and serve as a thought partner to leadership
- Comfortable in a close-knit and collaborative team environment
- Flexibility to support occasional after-hours meetings
