A fast-paced and collaborative professional services firm is seeking an Office Coordinator to ensure our Chicago office runs smoothly, efficiently, and with a welcoming atmosphere. This role is ideal for someone who takes pride in organization, anticipates needs, and enjoys being the go-to person for office support.
The Role:
- Maintain and organize shared spaces and supply inventory
- Track and report administrative spend against budget
- Coordinate office maintenance and cleaning with building management
- Support employee onboarding/offboarding, access, and workspace setup
- Manage guest access and coordinate with building security
- Prepare snacks, meals, and conference rooms for client visits
- Assist with setting up trainings, social events, and recruiting interviews
- Help prepare legal document packets, interview materials, and onboarding kits
You:
- Prior experience in office coordination, admin, hospitality, or operations
- Highly organized with strong attention to detail and time management
- Proactive and resourceful-able to anticipate office and team needs
- Friendly, professional, and comfortable interacting with all levels of staff
