Our client, a real estate investment firm, is seeking an Executive Assistant/Office Manager to support their New York office. The hours are 9am-6pm with light flexibility for overtime. This role is hybrid with four days in office.
Responsibilities:
* Lead daily admin and operations for the NYC office, including maintaining supplies and coordinating food and beverage deliveries
* Greet visitors, answer phones, and handle mail and deliveries
* Coordinate office events and celebrations, including team outings and birthdays
* Maintain file systems, gather and notarize signatures, and liaise with building management
* Provide high-level support to General Counsel and New York-based Executives, including calendar management, meeting planning, and drafting correspondence
* Coordinate travel arrangements and distribute detailed itineraries
* Assist with expenses and invoice tracking for both office and Executives
* Collaborate with the broader admin and People teams to ensure smooth operations and coverage
* Handle other administrative tasks as needed
Qualifications:
* Bachelor’s degree required
* 4+ years of Executive Assistant and/or Office Manager experience
* Strong organizational skills, with the ability to multitask and manage competing priorities
* Excellent verbal and written communication skills
* Proficiency in Microsoft Office Suite
* Ability to work proactively and independently in a fast-paced, collaborative environment
* Must be open to becoming a notary public in New York
