Our client, a housing non-profit, is seeking an Executive Assistant to the CEO in New York City. The hours are 9:00am – 5:30pm with some flexibility as needed and requires five days a week in the office.
Responsibilities:
* Serve as the primary point of contact for the CEO, managing communications (written, electronic, and telephonic) professionally and promptly
* Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements
* Represent the CEO’s office professionally with internal and external stakeholders, including donors, community leaders, partners, government officials, staff, and clients
* Schedule meetings, prepare and distribute materials, and respond to needs for the Board of Directors
* Attend Board meetings, prepare accurate minutes, and ensure timely follow-up on action items
* Maintain the Board data portal to ensure information is accurate and accessible
* Provide administrative and project support to the Executive Leadership Team
* Coordinate and follow up on meetings and Board interactions
* Support key organizational events, including fundraisers, donor meetings, and public engagements
* Manage correspondence, reports, and documentation for the CEO’s office
* Maintain office supplies and services to support smooth operations
* Supervise the receptionist responsible for greeting guests, answering phones, and sorting mail
* Ensure proper records management in accordance with organizational policies and legal requirements
Qualifications:
* 3+ years of experience as an Executive Assistant or in a similar administrative role
* Strong calendar management and travel coordination skills
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
* Excellent written, verbal, and interpersonal communication skills
* Proven ability to manage sensitive and confidential information with discretion
* Detail-oriented, proactive, organized, and able to prioritize in a fast-paced environment
Compensation/Benefits:
* Up to $85-105K base salary plus bonus
