Our client, a executive search and investment firm focused in the healthcare space, is seeking an Executive Assistant in New York, NY. The hours are 8:00am – 5:00pm or 8:30am – 5:30pm, with availability to check email after hours. This is a hybrid position (three days in office, two remote), with some flexibility for two in-office days if needed.
Responsibilities:
- Provide comprehensive administrative support to a senior executive and a principal-level team member, both operating remotely
* Oversee dynamic calendars, ensuring efficient scheduling of meetings and coordination across multiple time zones
* Manage all aspects of domestic travel, including flight bookings, hotel arrangements, ground transportation, and itinerary preparation
* Organize and execute both internal and external meetings, events, and conferences, ensuring all logistical details are handled smoothly
* Maintain oversight of ongoing initiatives and priorities, helping to drive projects forward and keep timelines aligned
* Serve as a liaison with external stakeholders, ensuring timely communication and follow-ups
* Prepare and submit expense reports using internal expense management tools
* Assist with ongoing recruiting and business development efforts, including the creation of client-facing documents and tracking project progress
Qualifications:
* Bachelor’s degree required
* 4+ years of true Executive Assistant experience supporting senior leaders
* Comfortable supporting executives remotely and working with colleagues across time zones
* Strong calendar management and organizational skills; detail-oriented with a proactive approach
* Strong written and verbal communication skills
