Our client is a midtown NYC-based investment management firm with a 30+ year track record seeking a Temporary to Permanent Administrative Assistant to the COO. The hours for this role at 9am-5pm with some flexibility as needed with a 4/1 in office schedule. This role is a great opportunity for emerging administrators looking to build their skills set in a tight knit office.
Responsibilities
- Assist the COO with wide-ranging projects and tasks in multiple areas of the business.
- Assist Finance team with processing employee expenses, accounts payable; and other tasks as needed.
- Provide administrative support including scheduling meetings/calls, coordinating calendars, and generally helping keep the COO organized.
- Support and assist in the preparation of general correspondence, presentations, and reports.
- Maintain relationships with building management and office supply/services vendors.
- Perform general office management duties, such as supervising the ordering of supplies and keeping shared spaces in good working order (conference rooms, kitchen, reception).
- Responsible for corporate events (client meetings, holiday parties, etc.), including securing venues, catering, and equipment; while managing event-day operations, set-up and cleanup.
- Perform other duties and functions as requested and provide additional support to firm as needed
Qualifications
- Strong skills with Microsoft Excel, Word, and PowerPoint
- Ability to multi-task and handle multiple responsibilities including confidential information
- Motivation to work in a team oriented and fast-paced environment
- Eagerness to learn and solid work ethic
- Excellent communication and interpersonal skills
- Undergraduate degree preferred but not required
- Minimum 2 years relevant experience
- Experience with Salesforce is a plus.
Compensation
- DOE 65k-85k, hourly in line + discretionary year-end bonus
