Our client, a boutique wealth management firm, is seeking an Executive Assistant in Palm Beach, FL. The hours are 8:30am – 5:30pm with flexibility, and the position is fully in office.
Responsibilities:
- Support to the Vice Chairman and senior leadership
- Manage intricate calendars and schedule meetings with internal teams and external stakeholders
- Coordinate domestic and international travel arrangements, including detailed itineraries
- Draft and edit correspondence, manage communications, and prepare materials for meetings
- Act as a point of contact between executives and clients, vendors, and internal teams
- Maintain strict confidentiality when handling sensitive information
- Organize company and client events, overseeing logistics and related materials
- Assist with marketing initiatives by developing and editing presentation materials
- Manage daily office operations, including vendor relationships and administrative systems
- Supervise junior administrative staff and assign responsibilities as appropriate
- Handle expense reporting, invoicing, and other financial administration
- Support the Vice Chairman with personal scheduling and related tasks
- Share responsibility for planning and coordinating visits from traveling team members to the NYC office
Qualifications:
- Bachelor’s degree required
- 5+ years of experience supporting senior executives
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience in financial services or nonprofit environments a plus
