Our client, a well-respected Chicago-based real estate investment and development firm, is seeking a highly organized, professional, and personable Executive Assistant & Office Manager to keep daily operations running smoothly while providing high-level support to the CEO. This dual-role is perfect for someone who thrives in a dynamic environment, values discretion, and takes pride in delivering exceptional support and hospitality.
Key Responsibilities
- Executive Support: Manage the CEO’s calendar, meetings, and travel; handle confidential information; coordinate leadership and company-wide events; support special projects and communications with internal/external stakeholders.
- Office & Workplace Operations: Maintain a clean, organized, and welcoming office; manage supplies, vendors, mail, hospitality for guests, and light event planning. Troubleshoot office equipment and ensure smooth day-to-day operations.
- Cross-Functional Admin Support: Assist departments (Accounting, HR, Marketing, and Operations) with administrative tasks, document management, and occasional company initiatives or events.
What We’re Looking For
- 5+ years of experience in office management and executive-level support
- High level of professionalism, discretion, and attention to detail
- Excellent communication and interpersonal skills; naturally service-oriented
- Strong organizational skills and ability to manage multiple priorities with flexibility
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience in real estate, professional services, or supporting C-suite leaders a plus
