Our client is seeking an experienced and highly organized Temporary Executive Assistant to provide interim support to the Vice Chairman and Principal of a prominent real estate company and its family office. This role will ensure essential day-to-day needs are met during the search for a full-time Executive Assistant.
The Temporary Executive Assistant will work under the direction of the Chief of Staff to the Vice Chairman and communicate primarily through the Chief of Staff to maintain alignment and confidentiality.
Key Responsibilities
- Coordinate and manage a complex, ever-changing calendar; schedule and confirm meetings as directed.
- Plan and book domestic and international travel, including private aviation, accommodations, and ground transportation.
- Create and maintain detailed travel itineraries with supporting documentation.
- Monitor and organize high-volume email/inbox activity; keep organized, manage junk mail, flag priorities, draft basic responses, and handle routine communications as directed.
- Work closely with the Chief of Staff and other team members to ensure seamless day-to-day operations.
Qualifications
- Minimum 5+ years of experience as an executive assistant supporting a senior executive, preferably in a fast-paced, high-profile environment.
- Proven success managing complex schedules, inboxes, and extensive travel arrangements.
- Strong organizational skills and attention to detail.
- Excellent communication skills.
- Discreet, professional, and trustworthy with the highest level of confidentiality.
- Flexible and able to respond to changing needs with a solutions-oriented mindset.
- Available to work on-site in New York City and adapt to flexible hours if needed.
