Our client, an investment management firm, is seeking an Office Assistant in West Palm Beach. The hours are 8:30am-5:30pm with some flexibility. This is a fully in-office role, five days a week.
Responsibilities:
* Provide daily administrative and office support to the Executive Assistant to the Founder, as well as general team support
* Open and tidy the office each morning, ensure conference rooms are organized, kitchen is stocked, and space is guest-ready
* Assist with vendor coordination, supply ordering, and general maintenance support
* Coordinate catering and logistics for internal meetings and events, including regular firm gatherings and annual partner meetings
* Greet visitors and guests warmly, creating a polished and professional atmosphere
* Manage mail, packages, and occasional office errands
* Help maintain internal communications and directories
* Take initiative to assist colleagues and offer support during down time
* Collaborate closely with the Receptionist/Facilities Manager to ensure smooth daily operations
Qualifications:
* 1-3+ years of experience in an office assistant, administrative, or office management support role
* Bachelor’s degree strongly preferred
* Strong communication and organizational skills
