Our client, a leading financial services company, is seeking a long term temporary Receptionist to join their NYC office. The receptionist team manages visitor registration and meeting logistics as well as serving as the first point of contact for all general inquiries. The role is highly customer service oriented, and no day is the same.
- As experts in all processes, systems and practices for the receptionist function, receptionists provide exceptional customer service to all employees and guests by being able to help with any receptionist-related requests and needs.
- Reception Services handles daily visitor registration responsibilities through a guest registration system. The receptionist is responsible for greeting and welcoming guests as they arrive to the office, checking them in through the guest registration system and directing guests to the appropriate person, floor, or office. (Lobby Reception: Maintain office security by following safety and access control procedures via the reception desk, monitor logbook, issue guest badges).
- As floor ambassadors, Receptionists should become familiar with the location of all common areas and facilities-related services on their floor, become familiar with the employees on the floor, and act as a welcoming, helpful resource for the floor
- Receptionists answer incoming calls in a professional and timely manner and screen and forward calls accordingly. Provide basic and accurate information in-person and via phone. Learn appropriate procedures for handling information requests.
- Receptionists serve as floor administrators for the conference room booking system to assist with meeting logistics and help troubleshoot any system trouble.
- Ensure all Reception areas maintain a neat and orderly appearance.
- Additional responsibilities include notifying Facilities of any specific clean-up or servicing that needs to be done on their floor (Scuffs or stains on floors/carpets, replacing light bulbs, damaged or dirty walls, floors, or furniture, interior office space temperature complaints (too hot/cold), etc.), serving as a liaison to dining services to ensure meeting rooms have been prepared, and updating ticket requests.
Requirements:
- At least 2+ years of full-time experience in a customer-facing role in a professional corporate environment
- Exceptional customer service orientation, skills and approach and able to anticipate service requests
- Excellent interpersonal skills and able to connect easily with others and handle difficult interactions
- Highest level of professionalism, discretion, and integrity
- Have sound judgment in order to resolve problems and make decisions
- Excellent, clear written and verbal communication skills
- Motivated, responsible, committed self-starter with a strong work ethic
- Have a collaborative, positive, team-oriented attitude
- Excellent organizational and multi-tasking skills with the ability to prioritize tasks

- Flexible and Adaptable
- Proficiency in Microsoft Office Suite AND Concur is required
