Our client, an investment management firm, is seeking an Administrative Assistant/Client Coordinator to provide support to their Capital Strategies & Formation team in Midtown Manhattan. The hours are 9:30/10:00am-6:00/7:00pm ET with occasional after-hours email monitoring. This position is fully onsite, five days a week.
Responsibilities:
- Serve as a primary contact for client and prospect inquiries, delivering high-quality and professional service
* Coordinate investor meetings and events, including scheduling, managing RSVPs, and preparing and sharing materials such as PowerPoint decks and agendas
* Support the execution of meetings by handling logistics and sending follow-up materials directly to clients
* Track meeting takeaways and manage related follow-up tasks to ensure timely execution
* Act as the liaison for the team, helping manage administrative and project-based priorities
Qualifications:
- 3-6+ years of experience in financial services or a client facing support role required
* Excellent client service and communication skills with the ability to manage relationships across seniority levels
* Highly organized, detail-oriented, and calm under pressure in a fast-paced, dynamic environment
* Proactive and collaborative with strong follow-through and a no-task-too-small mentality
* Strong problem-solving ability and comfort working in a fluid, entrepreneurial setting
* Proficient in Microsoft Office; experience with Salesforce or similar systems a plus
* Bachelor’s degree preferred
