Our client, a global investment management firm, is seeking an Executive Assistant to support the Head of Private Capital Formation and the growing team in New York, NY. The hours are 8:00am-5:00pm with flexibility for occasional overtime. This role is hybrid, with four days in the office and one remote day each week.
Responsibilities:
* Provide high-level administrative support to the Head of Private Capital Formation and team, ensuring smooth daily operations
* Coordinate complex calendars across multiple time zones for a global team
* Organize logistics for meetings, events, and offsites, both internal and external
* Prepare and submit accurate expense reports and approve expenses on behalf of leadership
* Plan and book domestic and international travel, including detailed itineraries and accommodations
* Support office culture by planning events, celebrations, and social gatherings
* Conduct research and compile reports using internal and external sources
* Oversee onboarding for new team members to ensure a seamless start
Qualifications:
* 5+ years’ experience in an administrative role
* Experience supporting multiple executives in a fast-paced, global setting
* Advanced proficiency in Microsoft Office with ability to learn new technologies quickly
* Strong organizational skills with excellent attention to detail
