Beacon Hill has partnered with a global law firm in downtown Chicago in hiring a Facilities Coordinator to start immediately. The Facilities Coordinator is responsible for supporting the day-to-day operations of the company’s physical workspaces. This role ensures that facilities are safe, well-maintained, and operating efficiently. The Facilities Coordinator will serve as the point of contact for facility-related requests, manage vendor relationships, and assist in coordinating office services and projects.
Key Responsibilities:
- Act as the first point of contact for facility-related inquiries, service requests, and maintenance issues.
- Coordinate and oversee maintenance, repairs, and cleaning services for office spaces.
- Schedule and supervise vendors and contractors for building services, including HVAC, electrical, plumbing, and security.
- Monitor and maintain inventory of office supplies, furniture, and equipment.
- Ensure compliance with health, safety, and security regulations.
- Assist in space planning, office moves, and workstation setups.
- Support sustainability and energy efficiency initiatives.
- Maintain records of facility inspections, work orders, and service reports.
- Partner with IT and HR to ensure employees have the necessary resources and a safe work environment.
- Manage access cards, keys, and building security systems.
- Track and process invoices and budgets related to facilities and building services.
Qualifications:
- Bachelor’s degree in Facilities Management, Business Administration, or related field (preferred) or equivalent experience.
- 2+ years of experience in facilities coordination, office management, or administrative support.
- Strong organizational and problem-solving skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite; familiarity with facilities management software a plus.
- Knowledge of OSHA regulations, safety standards, and building operations is preferred.
