Job Title: Executive Assistant (EA) – Temporary
Location: Onsite – Longwood Area & Brookline Village, MA
Duration: 3+ Months (Temp, with possible extension)
Hours: Monday-Friday, 8:30 AM – 5:00 PM
Pay Rate: $40/hour
Start Date: ASAP
Transportation/Parking: Accessible via public transportation (no parking provided)

Onboarding Requirements: updated immunizations required
Position Summary
We are seeking an experienced Executive Assistant to provide high-level administrative support to two senior legal executives within a well-respected medical research and healthcare organization. This is a temporary, full-time onsite role with the potential for extension or permanent hire.
The EA will primarily support the Senior Vice President and General Counsel and the Vice President and Chief IP Counsel, serving as a key partner in maintaining efficient operations within the Office of General Counsel. This is a highly visible, fast-paced position requiring strong communication skills, exceptional organizational abilities, and a proactive approach to managing complex priorities.
Key Responsibilities
- Heavy calendar management and scheduling across multiple time zones and stakeholders
- Prepare and organize materials for meetings, including agendas, presentations, and minutes
- Draft and proofread correspondence, memos, and other documents
- Coordinate internal and external meetings, both onsite and virtual
- Manage confidential and sensitive information with discretion
- Serve as a liaison between executives and other departments or external contacts
- Provide general administrative support including travel coordination, expense reporting, and document management
Qualifications
- 3+ years of Executive Assistant experience, ideally supporting senior leadership
- Prior experience in healthcare, academic, or legal settings strongly preferred
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent verbal and written communication skills
- Ability to work independently, manage time effectively, and prioritize competing demands
- Strong attention to detail and problem-solving skills
- Professional demeanor with a high level of discretion and integrity
