Our client, an investment management firm, is seeking a Receptionist/Admin Assistant in New York, NY. The hours are 8:00 AM – 5:30 PM Monday – Thursday and 8:00 AM – 5:00 PM Friday. This role is onsite, five days per week.
Responsibilities:
* Serve as the first point of contact by answering calls, greeting visitors, and managing conference room scheduling
* Support daily office needs, including managing lunch deliveries, preparing coffee, and maintaining reception/common areas
* Provide administrative support to executives including scheduling, catering coordination, and expense reporting
* Assist HR with employee engagement initiatives, onboarding, and intranet updates
* Partner with Marketing and Client Service teams on conference support, events, bulk mailings, and shareholder inquiries
* Uphold professionalism, confidentiality, and a welcoming environment for employees and guests
Qualifications:
* Bachelor’s degree required
* 0-2+ years of corporate experience
* Proficiency in Microsoft Office; Canva experience a plus
* Professional, mature, and positive demeanor with strong communication skills
* Highly organized, detail-oriented, and adaptable to support multiple teams
* Spanish language skills a plus
