Global economics consulting firm, is looking for a Temporary Facilities Services Assistant to join our New York office. This position is responsible for providing administrative and facilities support including all reception related duties, office maintenance, and catering/meeting set-ups; administrative support to the Senior Administrator team, Principals and the consulting staff in the areas of document and presentation preparation, and special projects.
The position on/around September 29th. Monday – Friday onsite, 8:30am-5:30pm. Need ongoing/long term commitment.
RESPONSIBILITIES:
- Be first point of contact for visitors ensuring any security protocols are met with building and within company standard; arrange workspace; provide relevant helpful information to visitors
- Ensure daily neatness and tidiness of general office space, common areas, and conference rooms
- Ensures kitchen, printer and copier stations are consistently neat and well stocked; maintains inventory list of supplies for stock and ordering
- Assist with meeting set-ups, which can include initiating or accepting meetings via video conference and logging into Zoom, catering, assisting with preparation of materials or packets
- Answer phones in a timely and professional manner; announce calls and route callers to employee voicemail as appropriate; each morning, retrieve general voicemail messages and forward to appropriate people as necessary
- Perform copying, binding, faxing, scanning, and materials distribution as requested
REQUIREMENTS:
- Bachelor’s Degree required
- 3+ years of professional experience ideally in professional services environment
- Intermediate knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required
- Strong ability to take initiative and ownership of projects
- Must be self-motivated, work independently, and keep in constant communication with team members and manager
- Takes pride in working within a high-quality, high-integrity organization
- Maintains strict confidentiality and exercises appropriate judgment
- Fast-paced office environment handling multiple tasks and demands
- Ability to work effectively and to interact with team members and manager
- Ability to concentrate and pay close attention to detail
- Requires physical activity including some bending and lifting up to twenty (20) pounds
PAY:
- $30-$33/hour DOE
