Prestigious strategy consulting firm located in Midtown, Manhattan is seeking to hire a Temporary to Permanent Executive Assistant. The role is part of a collaborative EA team supporting senior leaders and internal operations, with the opportunity to engage on the project management side once performance is proven to be strong. This position will start full-time in the office with hybrid flexibility (2-3 days in) over time once trust is established.
Responsibilities include:
- Proactive calendar management, ensuring top priorities are considered and conflicts are avoided
- Tracking and proactive management of client contacts
- Travel booking and itinerary management (for Partners and project teams, as appropriate)
- Assisting with event preparation, both internal and external facing
- Preparing documents and reports, as required
- Travel booking (for Partners and project teams, as appropriate)
- Timely and accurate submission of expenses and timesheets
- Minute taking, as required
- Supporting Partners with project administration (ie -assuming duties as project administrator on appropriate client engagements)
- Supporting various sector and marketing activities, as required
- Assist facilities team as needed, when requests are urgent and cannot be fulfilled by Office Manager or AOM
- In office attendance for key events, ensuring meeting rooms are set up
- Confirm ordering of catering, as required, for key meetings
- Work with facilities team as needed to ensure guest entry to the office
- Act as the oversight for meeting room booking and set up as it relates to your Partner or APs clients or meeting needs
Qualifications:
- At least 2+ years’ experience in a related administrative role, supporting multiple Partners/ C-suite/ Principals
- Experience with Outlook and calendaring for busy individuals/ offices
- Active interest in understanding client relationships and deal flow for Partners
- Collaborative style and strong team skills
- Seen as a reliable team member, with an approachable, collaborative style
- Confidential, discreet and trustworthy, with a keen attention to detail
- Able to identify process ‘pain’ points and suggest resolutions
- Excellent organizational skills, with the ability to multi-task and prioritize and consistently meet deadlines
- Excellent verbal and written communication skills
