Our client, an international architecture firm, is seeking an Executive Assistant to join their organization. The hours are 9:00am-6:00pm, and this role is onsite five days a week in Manhattan.
Responsibilities:
Provide direct administrative support to three key Principals and their teams, under the guidance of other senior executive assistants
Manage expense reports and timesheets
Support Senior Executive Business Partners in coordinating all facets of travel, air/ground, hotel/restaurants and agenda planning, including frequent last-minute changes
Assist with Principals’ passport renewals, travel visa applications, Global Entry membership renewals as needed
Oversee conference room booking and refreshments for any meeting as requested
Coordinate calendars, meetings, conference room bookings, and client-facing logistics
Assist with licenses, certifications, and membership tracking for senior leaders
Handle additional administrative projects and occasional reception coverage as needed
Job Requirements:
* Bachelor’s degree strongly preferred
* 2+ years of administrative support experience at an international/global firm
* Experience scheduling across time zones and managing complex international travel (required)
* Strong proficiency with Microsoft Office and Outlook
* Highly organized, detail-oriented, and adaptable in a fast-paced, client-facing environment
* Mature, collaborative, and able to support senior leadership with discretion
