Our client, a prominent non-profit organization in the music industry, is seeking a polished and proactive long-term temp Administrative Assistant to support a couple of executives in their NYC office. This is a fast-paced, high-energy role where the assistant will manage multiple responsibilities, including handling calendars, managing legal documents, and offering administrative support with ad hoc projects. This role starts ASAP (ideally this week or, 10/13 latest) with an estimated temp contract of 3 months (potential to extend). The hours are 9am-5pm (30-minute lunch break) + limited OT as needed. This role is fully onsite Monday through Friday. Hourly pay rate is 30-36/hr DOE.
Key Responsibilities:
- Calendar Management: Manage complex schedules, arrange meetings, and coordinate appointments.
- Legal Document Management: Work with legal documents, including editing, tracking changes in Word, converting documents into Adobe, and ensuring they are up-to-date and polished.
- Phone Support: Answer phone calls, screen inquiries, and relay messages effectively.
- General Admin Support: Assist with general office duties such as faxing, scanning, and making lunch/coffee runs when needed.
- Travel & Expenses: Coordinate travel arrangements, process expense reports, and ensure timely reimbursements.
- Conference Room Setup: Organize and prepare meeting spaces, ensuring that all necessary equipment and materials are available.
Qualifications:
- Experience: Minimum of 3+ years of corporate Executive Assistant experience, preferably in a fast-paced, professional services or non-profit environment.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and Google Suite. Comfortable using Adobe for document editing and conversion.
- Attention to Detail: Strong organizational skills with an ability to manage multiple priorities and a focus on accuracy.
- Professionalism: Polished demeanor, strong communication skills, and the ability to interact with C-suite executives and staff effectively.
- Work Ethic: Highly proactive, energetic, and comfortable working in a fast-paced environment.
- Availability: Must be able to work onsite 5 days a week in the Hell’s Kitchen office.
- Education: Bachelor’s degree preferred, but not required for candidates with significant experience.
