Our client, a prominent healthcare technology organization in Philadelphia, is seeking a contracted Executive Assistant to the COO to provide high-level administrative and operational support in a fast-paced, growth-oriented environment. This highly visible position serves as the primary liaison for all internal and external communications with the COO’s office, ensuring seamless coordination, exceptional organization, and professional representation across the company.
About the Job
- Provide comprehensive executive support to the COO, including calendar management, travel arrangements, and correspondence.
- Serve as the main point of contact for all individuals and departments seeking access to the COO.
- Plan, coordinate, and execute executive-level meetings and events, including virtual and in-person functions.
- Manage logistics for upcoming events such as:
- Organize and assist with planning of large-scale employee events, including nomination process, guest list creation, travel and hotel coordination, agenda development, and speaker scheduling.
- Anticipate needs, resolve conflicts, and maintain confidentiality while exercising sound judgment and professionalism.
- Support special projects, communications, and presentation preparation as requested by the COO.
About You
- Minimum of 5+ years of experience supporting C-level executives, ideally within a corporate, healthcare, or high-growth environment.
- Demonstrated expertise in calendar management, travel coordination, and event planning.
- Exceptionally organized and detail-oriented, with the ability to manage multiple priorities with discretion and composure.
- Strong written and verbal communication skills; able to interact confidently with senior leadership and external partners.
- Proactive problem-solver with a polished, professional demeanor and a high degree of confidentiality.
- Proficient in Microsoft Office Suite, Zoom, and modern scheduling or travel platforms.
This is a full-time, hybrid contract role based in Center City Philadelphia. This position offers an hourly rate starting at $48/hr based on experience, and is set to last through the end of the year.
