Our client, a global law firm, is seeking an Executive Administrative Assistant to join their organization. The hours are 9:30am-5pm with flexibility for light overtime. This role is hybrid, working four days in office in Manhattan with one day remote.
Responsibilities:
 * Provide high-level administrative support to two Partners in the Corporate & Financial Services department
 * Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements
 * Prepare, review, and process client invoices in accordance with firm policies and client guidelines
 * Track billable hours and ensure timely, accurate entry of attorney time; liaise with billing and accounting teams to resolve discrepancies
 * Draft and proof correspondence, memos, and other legal documents
 * Initiate and maintain client matters, conflicts checks, engagement letters, and matter intake forms
 * Submit and reconcile attorney expenses and maintain organized and confidential records
Job Requirements:
 * Bachelor’s degree strongly preferred
 * 3+ years of experience as an Executive Assistant or Administrative Assistant in a law firm or professional services environment
 * Experience with billing, time entry, and matter management systems
 * Exceptional attention to detail and strong organizational skills with the ability to manage competing priorities
 * Excellent written and verbal communication skills and professional demeanor
 * Proactive, reliable, and comfortable handling sensitive information with discretion

 * Up to $135K base salary + bonus + paid overtime
