Our client, a hedge fund, is seeking an Administrative Assistant to join their organization. They are looking for an individual who can remain organized and detail-oriented in a fast-paced environment while exercising strong communication and prioritization skills! The hours are 8:00 a.m.-5:00 p.m., Monday through Friday, and the role is onsite five days a week in Manhattan.
Responsibilities:
* Provide administrative support to two analysts directly, with backup support to the broader trading floor team and Executive Assistant
* Manage analyst calendars, including meetings, calls, conference agendas, and travel schedules
* Coordinate domestic and international travel, including flights, hotels, transportation, and internal approvals
* Schedule meetings and conference calls, ensure technology and AV needs are met, and greet internal and external guests
* Prepare and process team expense reports and maintain up-to-date contact sheets and procedure manuals
* Answer phones and provide coverage for PM/analyst calls when required
Job Requirements:
* 3-5+ years of administrative experience, preferably in finance
* Strong Microsoft Office skills, particularly Outlook, Excel, and PowerPoint
* Highly organized, detail-oriented, and able to adapt in a fast-paced, changing environment
* Strong verbal, written, and interpersonal communication skills
* Ability to prioritize multiple tasks, meet deadlines, and work collaboratively in a team environment
