Our client, a religious organization located in the Upper West Side, Manhattan, is seeking to hire a Temporary Mitzvah Coordinator. The Coordinator ensures that students and families receive clear guidance, structured preparation, and a meaningful experience throughout their Mitzvah journey, while managing logistics, scheduling, tutor coordination, and program records.
This short-term role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic synagogue environment. The Coordinator will work closely with clergy, tutors, and staff to ensure seamless continuity of the program during this interim period.
The primary goal of this temporary position is to ensure smooth continuity of the Mitzvah program during the regular coordinator’s maternity leave. While opportunities for process improvement are welcome, the focus is on maintaining consistency and supporting families. The candidate will receive a thorough handoff from the outgoing coordinator and ongoing support from the Chief of Staff.
RESPONSIBILITIES
- Serve as the primary point of contact for families, providing clear guidance on expectations, logistics, and preparation timelines.
- Manage the Mitzvah date assignment process and maintain accurate records in Salesforce and Google Drive.
- Coordinate tutor assignments, schedule check-ins with the Hazzan, and ensure timely communication among tutors, families, and clergy.
- Prepare and distribute program materials (handbooks, learning resources, reminders).
- Schedule student meetings and rehearsals with clergy.
- Track invoices and reimbursements related to the Mitzvah program.
- Respond promptly to family inquiries and ensure a consistent, supportive presence throughout the preparation process.
- Communicate key service details (custom kippot, candy, printed programs, honors, announcements) to the operations team.
- Ensure Mitzvah services are accurately reflected on the synagogue calendar.
- Support clergy on related services (Teen Shabbat, Family Services, Torah reader coordination).
- Provide administrative and scheduling support to the Associate Rabbi and Hazzan.
- Coordinate logistics across departments to ensure smooth program operations.
QUALIFICATIONS, SKILLS and EXPERIENCE
- Bachelor’s degree or equivalent experience, with 2+ years of administrative experience.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent written and verbal communication skills; a warm and professional interpersonal style.
- Proficiency with Google Suite (Docs, Sheets, Calendar).
- Availability for occasional evening and weekend events.
PAY
- $28/hour
