Our client, a global commercial real estate firm is looking to hire a Temporary to Permanent Executive Assistant. This position will work onsite at a software development company in Midtown, Manhattan. Monday – Friday onsite, 8am – 4:30pm with flexibility for overtime. Start date early December 2025. Temp duration is approximately 90 days before conversion.
Essential Functions:
- Promote the mission, vision, and values of the organization
- Provide full executive support to the global leadership team and represent the TEAM to the client through personal, telephone, and electronic communications
- Provide administrative support to the Team, which is geographically dispersed
- Responsible for day-to-day office operations and record keeping systems.
- Manage expense report preparation in PeopleSoft. Submit expense reports, track status, reconcile corporate charge card statements and respond to any audit inquiries
- Prepare and edit correspondence, communications, presentations, and other documents.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings across global time zones
- Coordinate travel arrangements through internet based travel system

Professional Requirements:
- Real estate experience preferred but not required
- Maintain confidentiality at all times
- Provide excellent customer service
- Being on time and available to the Team is a must
- Represent the organization in a positive and professional manner at all times
- Comply with all organizational policies and standards regarding ethical business practices.
Qualifications:
- Minimum 2+ years of experience supporting administration at the executive level required.
- A bachelor’s degree, or higher, in business administration, administrative assistant, or related field preferred, but not required
- Excellent computer and typing skills. Proficiency in MS Windows and Office (Word, Excel, PowerPoint, and Outlook).
Pay:
- 85K -90K perm base
