Our client, an investment firm located in Midtown, Manhattan is seeking to hire a Temp to Perm Executive Assistant to support the Human Capital Group. This individual will support the Co-Head and the Managing Director (MD) of HCG, as well as support several of the teams Managing Directors and Directors. The ideal candidate is a highly motivated, proactive, and detail-oriented individual with a strong work ethic. This role requires the ability to work in a fast-paced environment with a focus on client-service, problem solving, and proactively resolving issues. Position is Monday – Thursday, onsite and Fridays remote (unless in-office presence necessary). 9am – 6pm (with flexibility to start earlier/work later as needed. Position starts January 2026. Temp duration typically 6+ months ahead of conversion.
Responsibilities:
- Extensive calendar management: proactively prioritizing a constantly evolving schedule to keep the Co-Head and MD on track as well as monitoring the Managing Directors and Directors calendars
- Anticipate and resolve potential scheduling / logistical conflicts with an appropriate sense of urgency and professionalism
- Act as gatekeeper for the Co-Head and MD; diligently screen phone calls and internal / external inquires as necessary to maximize time of managers
- Handle confidential materials for the HCG team with the utmost degree of care, integrity, and discretion
- Excellent communication skills and ability to develop strong working rapport with employees at all levels of the firm
- Ability to liaise frequently with other departments within the firm to coordinate conference calls and meetings, as well as troubleshoot daily issues for the HCG team
- Prepare and process expense reports utilizing Workday
- Handle domestic and international travel arrangements
- Provide additional administrative support including copying, filing, scanning, printing, preparing materials for internal meetings, setting up video conferences, booking conference rooms, ordering food/drinks, etc.
- Participate in various ad-hoc projects and perform other duties as assigned
Qualifications
- 3+ years of experience
- Punctual, organized, and extremely detail-oriented
- Excellent analytical, time-management, and organizational skills; flexibility and ability to manage several priorities/projects in a very fast-paced environment
- Superior communication and interpersonal skills – both written and oral
- Strong team player with positive attitude and willingness to assist with all assigned duties
- Proficiency in Microsoft Office (especially Office, Excel, PowerPoint and Word)
- Sensitivity to confidential matters
- Familiar with operating as part of a global team
- Sound judgment – knowing when to escalate an issue combined with a willingness to be flexible and pragmatic when appropriate
- Independent and strategic thinker
Pay:
- Temp rate in line with 100K (up to 110K depending on experience) plus discretionary bonus
