A prestigious global investment firm is seeking an experienced Office Administrator to support its Chicago headquarters. This role is pivotal in ensuring smooth daily operations, creating a welcoming environment, and providing essential support to leadership and staff. We’re looking for a highly organized, proactive professional who thrives in a fast-paced setting and can manage diverse administrative and operational responsibilities with confidence.
Key Responsibilities
- Office Operations: Oversee day-to-day office functions, provide reception coverage, manage calls and inquiries, greet visitors, coordinate meetings, and handle mail/shipping services.
- Facilities & Workplace Management: Act as liaison with building management and vendors, maintain office appearance and functionality, manage supplies, support compliance programs, and oversee seating/floorplans.
- Employee Onboarding: Prepare workspaces for new hires, manage ID card access, complete I-9 verifications, and conduct office tours.
- Team Collaboration: Partner with the global Corporate Services team, contribute to firmwide initiatives, and assist with onsite events.
Qualifications
- 3+ years of office administration or operations experience, ideally within financial services.
- Strong communication, organizational, and multitasking skills.
- Ability to prioritize effectively, work independently, and adapt quickly to changing needs.
- Proficiency in Microsoft Office
- Professional demeanor, excellent customer service, and strong interpersonal skills.
