Beacon Hill is hiring! We are partnering with a religious institution in hiring a Bilingual Sr Admin Assistant to start immediately. The Bilingual Administrative Assistant provides administrative and clerical support to ensure efficient operations of the organization. This role requires fluency in Spanish and English to effectively communicate with diverse stakeholders, including staff, clients, and community partners.
Key Responsibilities
- Provide administrative support to the Director and Vicar, including calendar management, scheduling, travel arrangements, and meeting preparation
- Serve as a resource and point of contact for extern priests and religious communities
- Manage office reception, including answering phones, greeting visitors, and handling inquiries
- Prepare correspondence, reports, presentations, and other documents
- Maintain accurate personnel records and confidential files for priests and religious
- Enter and update data in Archdiocesan personnel systems
- Assist with budget preparation, expense coding, P-card reconciliation, and accounts payable
- Order supplies and coordinate services, equipment, and office needs
- Support events, meetings, and hospitality as needed
- Maintain office IT and telecommunications needs
- Collaborate with related offices and provide coverage as necessary
- Perform other duties as assigned
Qualifications and Requirements
- Minimum of seven (7) years of administrative experience in a corporate or non-profit setting; Archdiocesan experience preferred
- Bilingual in Spanish (oral and written) required
- Strong understanding of the Catholic Church, its hierarchy, protocol, and mission
- Familiarity with the structure and operations of the Archdiocese
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and standard office technology
- Excellent written and verbal communication skills
- Highly organized, detail-oriented, and able to prioritize effectively with minimal supervision
- Professional demeanor with sound judgment, discretion, and ability to maintain confidentiality
- Ability to interact respectfully and professionally with clergy, religious, laity, and the public
