Beacon Hill has partnered with a reputable hospital on the south side of Chicago in hiring an Executive Assistant to start immediately. This is a great opportunity to join a mission‑driven healthcare organization in a trusted role supporting the CEO
Responsibilities:
- Provide high-level executive administrative and operational support to the Chief Executive Officer of a complex hospital system
- Serve as a trusted partner to the CEO, acting with discretion, professionalism, and sound judgment at all times
- Manage a dynamic and frequently changing executive calendar, including board meetings, physician leadership meetings, and external engagements
- Coordinate domestic and occasional international travel, preparing detailed itineraries and briefing materials
- Prepare meeting agendas, presentations, reports, and board-level materials with a high degree of accuracy and confidentiality
- Serve as a primary point of contact between the CEO and executive leadership, board members, physicians, donors, and external stakeholders
- Track and follow up on action items, strategic initiatives, and time-sensitive deliverables on behalf of the CEO
- Support board of directors and governance activities, including meeting logistics, minutes, and materials
- Handle highly confidential information related to patient care operations, financial performance, organizational strategy, and personnel matters
- Partner closely with other executive assistants and senior leaders to ensure seamless coordination across the health system
- Continuously anticipate CEO needs and proactively resolve issues before they escalate
- Assist with special projects, strategic planning initiatives, and organizational communications as assigned
Requirements:
- Bachelor’s degree or equivalent combination of education and experience
- 5+ years of experience supporting a C-suite executive, preferably in healthcare, hospital systems, or similarly complex organizations
- Demonstrated experience supporting a CEO or senior executive with board-level exposure
- Exceptional organizational, time-management, and prioritization skills in a fast-paced environment
- Outstanding written and verbal communication skills with executive presence
- Proven ability to handle sensitive and confidential information with discretion
- High proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel) and executive productivity tools
- Strong attention to detail with the ability to anticipate needs and think several steps ahead
- Ability to build trust and work effectively with physicians, senior leaders, board members, and external partners
- Flexibility to adjust hours as needed to support executive and organizational priorities
