Marketing Administrative Assistant
Duration: 3-6 months
Schedule: Monday-Friday, 9:00 AM-5:00 PM
Location: Hybrid – minimum 3 days in-office per week
About the Role
We’re seeking a highly organized Marketing Administrative Assistant to provide executive-level support to a Chief Marketing Officer (CMO) and collaborate closely with the Senior Marketing Operations Manager. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment and can manage complex scheduling and administrative tasks with minimal direction.
Approximately 70-80% of this position involves calendar management and scheduling, so experience supporting executives with demanding schedules is essential.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for the CMO.
- Serve as the primary point of contact for internal and external stakeholders.
- Prepare and edit correspondence, presentations, and meeting materials.
- Organize logistics for meetings and events, including A/V setup and catering.
- Maintain department calendars, documents, and intranet resources.
- Process invoices and expense reports accurately and on time.
- Handle confidential information with discretion.
- Support special projects and assist with departmental initiatives as needed.
Qualifications
Required:
- Minimum 3 years of experience in an administrative or executive assistant role.
- Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Exceptional organizational skills and ability to manage competing priorities.
- Excellent grammar, proofreading, and attention to detail.
- Ability to work independently and exercise sound judgment.
Preferred:
- Bachelor’s degree.
- Experience in professional services or law firm environment (helpful but not required).
- Familiarity with document management systems and Microsoft Visio.
Additional Details
- Skill Assessment: Candidates will complete a remote assessment (typing, MS Office, proofreading) prior to the first interview.
- Interview Process: Two rounds, including meetings with senior marketing leadership and the CMO.
