Beacon Hill has partnered with a growing organization in downtown Chicago in hiring a part-time Executive Assistant to start immediately. The Executive Assistant provides high-level administrative support to the Executive Director and plays a key role in donor database management and event coordination. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role is 27 hours per week.
Key Responsibilities
- Executive Support
- Manage the Executive Director’s calendar, schedule meetings, and coordinate travel arrangements.
- Prepare correspondence, reports, and presentations as needed.
- Serve as a liaison between the Executive Director and internal/external stakeholders.
- Donor Database Management
- Maintain and update donor records in the organization’s CRM/database.
- Process donations and generate acknowledgment letters.
- Produce donor reports and assist with data analysis for fundraising campaigns.
- Event Planning
- Assist in planning and executing donor events, fundraisers, and special programs.
- Coordinate logistics including venue, catering, invitations, and guest lists.
- Support on-site event management and post-event follow-up.
- General Administrative Duties
- Handle incoming calls and emails, ensuring timely and professional responses.
- Organize and maintain electronic and physical files.
- Perform other duties as assigned to support organizational goals.
Qualifications
- 5+ years of proven experience as an Executive Assistant
- Bachelor’s Degree is required.
- Familiarity with donor management systems (e.g., Salesforce, Raiser’s Edge, or similar).
- Strong event planning and project management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Ability to maintain confidentiality and exercise discretion.
- Highly organized, detail-oriented, and able to work independently.
