Our client, an AI-driven startup, is seeking a Director of Administration to provide high-level operational and executive support to the CEO and leadership team. This role requires exceptional organizational skills, discretion, and the ability to manage complex workflows and systems in a fast-paced environment. The schedule is 8:30/9am-6:00pm with flexibility to work overtime, hybrid (4 days onsite in Manhattan, 1 remote).
Responsibilities:
- Manage calendars, prioritize scheduling, and coordinate complex travel for the CEO and senior leaders
- Operate and maintain internal systems, including Notion, Affinity, and Ashby, ensuring clean data and efficient workflows
- Oversee recruiting pipeline operations, including posting roles, scheduling interviews, and tracking metrics
- Lead office management for the NYC location, including vendor coordination and event logistics
- Support planning and execution of board meetings, investor visits, and leadership sessions
- Act as a trusted partner to leadership, exercising sound judgment and maintaining confidentiality
Job Requirements:
- Bachelor’s degree required
- 5-10+ years of experience in executive support or administrative leadership
- Strong organizational and multitasking skills with attention to detail
- Proficiency with productivity tools and ability to learn platforms like Notion, Affinity, and Ashby
- Excellent written and verbal communication skills; professional demeanor
- High level of discretion, adaptability, and ability to thrive in a fast-paced environment
Compensation/Benefits:
