Executive Assistant to Dean of Professional Education Division
This is a temporary (3+ month) onsite opportunity supporting the Dean of a higher education institution’s Professional Education Division within the arts and education space. The role is based in Boston, runs Monday-Friday from 9:00 AM to 5:00 PM, and offers a competitive hourly pay of $38/hour. The Executive Assistant will provide high-level administrative and business support to the Dean while helping manage daily operations, budgets, events, and cross-departmental initiatives in a dynamic academic environment.
Key Responsibilities
- Serve as the administrative and business lead for the Professional Education Division office
- Manage the Dean’s calendar, meetings, travel, and professional engagements
- Support budget planning, tracking, reporting, and purchasing card reconciliations
- Coordinate division-wide projects, events, residencies, visiting artists, and special initiatives
- Prepare contracts, correspondence, reports, agendas, and meeting minutes
- Maintain accurate electronic and hard-copy records and office systems
- Hire, train, and supervise student employees
- Act as liaison between the Dean and internal/external stakeholders
- Support staff onboarding, training, and divisional communications (website, calendar, newsletter)
Candidate Qualifications
- Bachelor’s degree required with 5+ years of experience in an academic administrative or office setting
- Strong written and verbal communication and interpersonal skills
- Excellent organizational, project management, and prioritization abilities
- Proven budget and financial management experience
- Ability to work independently with minimal supervision and exercise discretion
- Proficiency in a Macintosh environment (word processing, spreadsheets, databases, presentations, videoconferencing)
