Our client, an investor and asset managing company, is searching for an experienced Temporary to Permanent Executive Assistant to join the New York office. The Executive Assistant will be supporting the new CFO. This role requires 4 days in the office with flexibility to work remotely on Fridays, with hours being form 9am-5pm with some flexibility as needed.
KEY RESPONSIBILITIES:
- Provide proactive, detail-oriented administrative and executive support to the Chief Financial Officer, ensuring seamless coordination of priorities, information flow, and day-to-day activities.
- Manage a complex calendar, including scheduling internal and external meetings, conference calls, and time-sensitive engagements across time zones.
- Act as a gatekeeper and primary point of contact, managing and prioritizing communications.
- Coordinate meeting logistics, including room bookings, AV setup, catering, and preparation and distribution of agendas and supporting materials.
- Prepare presentations, reports, and documentation with accuracy, attention to detail, and professionalism.
- Support meeting follow-ups by tracking action items and ensuring accountability for completion.
- Arrange detailed domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Prepare and process expense reports in line with company policies.
- Assist in organizing events or special projects.
- Collaborate with internal teams to support project timelines, gather inputs, and streamline communications between the Chief Financial Officer and other departments.
- Provide additional administrative support as needed.
QUALIFICATIONS:
- Minimum of 10+ years of experience as an Executive Assistant, including experience supporting C-suite or senior executives in a dynamic, high-performance environment.
- Experience within financial services, asset management or professional services is strongly preferred.
- Proven ability to manage complex scheduling, anticipate executive needs, and operate with a high degree of autonomy and discretion.
- Outstanding written and verbal communication skills, with the ability to represent senior leadership professionally and diplomatically.
- Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent time management, organizational, and prioritization skills; able to handle multiple tasks and competing deadlines.
- Strong problem-solving orientation; ability to adapt and respond to shifting priorities.
- Demonstrated ability to maintain confidentiality and manage sensitive information with integrity.
- Team player with a positive attitude, strong interpersonal skills, and high emotional intelligence.
- Professional maturity, resourcefulness, and a proactive mindset are essential for success in this role.

COMPENSATION:
- Up to 130K DOE + discretionary bonus + benefits
