Our client is seeking a highly skilled Executive Assistant to provide comprehensive support to senior leaders within the Wealth division. This role requires exceptional organizational skills, discretion, and the ability to manage complex priorities while acting as a trusted partner to the COO and other executives. The hours are 8:30am-5:00pm (must be accessible via email after hours), and the role is onsite, 5 days per week in Manhattan.
Responsibilities:
- Provide high-level administrative support to four executives, including the COO
- Manage complex calendars, prioritize meetings, and act as a gatekeeper for the COO’s schedule
- Coordinate domestic and international travel arrangements and handle last-minute changes
- Process expense reports and maintain accurate records
- Prepare meeting materials and assist with client engagement logistics
- Summarize priorities and provide end-of-day updates to ensure alignment
Job Requirements:
- 8+ years of experience as an Executive Assistant in financial services or related industries
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills; professional demeanor
- Proficiency in Microsoft Office Suite and Concur; experience with travel coordination
- Ability to work independently, exercise sound judgment, and maintain confidentiality
- Flexible and adaptable to changing priorities; proactive and resourceful
