Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the Head of Global Finance and two Managing Directors within the Corporate Finance team. This role requires exceptional organizational skills, discretion, and the ability to manage complex, fast-paced scheduling across multiple time zones. The hours are 8:30am – 5:30pm (with accessibility to email needed after hours), and the role is onsite 5 days a week in Manhattan.
Responsibilities:
- Manage complex calendars for senior executives, ensuring accuracy and prioritization
- Coordinate domestic and international travel arrangements and prepare detailed itineraries
- Process expense reports and maintain compliance with company policies
- Serve as a gatekeeper for the Head of Global Finance, handling last-minute changes and scheduling conflicts
- Organize virtual and in-person meetings across multiple time zones
- Support ad hoc projects and assist with operational tasks as needed
Job Requirements:
- 8+ years of administrative experience supporting senior executives in fast-paced environments
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication skills; professional demeanor
- Proficiency in Microsoft Office Suite; experience with Concur preferred
- Ability to work independently, exercise sound judgment, and maintain confidentiality
- Flexible and adaptable to changing priorities; proactive and resourceful
Compensation/Benefits:
- Up to $125K base salary + bonus + paid overtime + stock options
