Our client is seeking an experienced Executive Assistant to provide high-level administrative and operational support to the Executive Director in a dynamic, fast-paced foundation environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while remaining calm and proactive under pressure. The hours are typically 8:30am – 5:30pm or 9:00am – 5:30pm (with some flexibility needed outside working hours), and the role is 3 days onsite in Manhattan, with the ability to flexible based on the needs of the business.
Responsibilities:
- Manage complex calendars, scheduling meetings across multiple time zones and global locations
- Coordinate domestic and international travel arrangements and prepare detailed itineraries
- Serve as gatekeeper for the Executive Director’s time and manage confidential communications
- Prepare meeting notes, board materials, and follow-up action items
- Compile and track expense reports and reimbursements
- Liaise with internal teams and external stakeholders, including high-profile contacts
- Provide logistical support for board meetings, organizational events, and special projects
Job Requirements:
- 8-10+ years of experience as an Executive Assistant supporting senior leadership
- Exceptional organizational and time-management skills with strong attention to detail
- Ability to manage confidential information with discretion and professionalism
- Strong written and verbal communication skills; polished and professional demeanor
- Proficiency with office technology, virtual meeting platforms, and document management systems
- Ability to prioritize, adapt, and pivot quickly in a fast-paced, entrepreneurial environment
Compensation/Benefits:
- Up to $120K-$130K base salary
